At Cosmetique Totale, WoodWing Scienta offers the solution: one central place for knowledge, communication, and processes. Jennifer Rensen, Business Development Manager and skin therapist at the company, explains how WoodWing Scienta makes her work and that of her colleagues clear and simple.
About the client
Anyone with a skin question or problem can go to Cosmetique Totale, a leader in the field of skin therapy and laser treatments. Skin improvement treatments, laser hair removal, acne treatments, and, for example, tattoo removal are daily business for the professionally trained skin therapists. The company distinguishes itself from other practices by the quality and execution of care, combining the expertise of the skin therapists, skin specialists, and doctors with the latest advanced (combination) techniques.
Cosmetique Totale started 20 years ago with a small group of skin therapists who you could easily catch up with in half an hour. Since then steps have been made across the border and 350 people are working in more than 200 branches in the Netherlands, Belgium, France and Germany. To get all those specialists and support functions on the same page, an information management system became indispensable.
Our mission is that every customer in any branch experiences the same quality of service. With Scienta, we know for sure that this will happen.
The situation
Jennifer: “No matter which branch a client walks into, our requirement is that they are received in the same way everywhere and treatments are performed identically. As management, you have to make sure employees are properly, completely and consistently informed. The approach that had always worked in the early years fell short of that over time.”
The solution
“The solution to this problem was handed to us on a silver platter. One of the companies we acquired had, in fact, been using Scienta for some time to its full satisfaction. When we ourselves also had a good impression of its capabilities and usability after an introduction, all signals were green.”

- Always up-to-date: “Everyone starts the working day with the Scienta home page and is instantly up to date with news, treatment protocols, the best before and after photos, new colleagues, and social events.”
- Smart forms: “Area managers and practice managers use Scienta forms to record tasks and conversations, as well as event registrations, for example.”
- Manage knowledge together: “Employees can easily suggest changes, ensuring information is always up to date. All changes made are automatically recorded and provide insight into the document history at any time.”
- Assign tasks: “With Scienta, we can assign tasks to specific employees. Most colleagues have a love-hate relationship with this because they sometimes stay open. But thanks to Scienta, at least we can now hold employees accountable for that.”

The result
“Previously, there were small islands within the organization, but since we have centralized all information with Scienta, that has really changed. Everyone knows what's going on, and mutual communication is also better. That's not just based on my gut feeling, but emerges from the employee satisfaction survey, among other things.”

Tips from Jennifer
- Make different people responsible for parts of the implementation. We chose to combine a very structured colleague (executive secretary) with a content colleague (skin therapist). Together, they created a layout of what needed to be in Scienta and turned that into a nice, workable way in terms of design and layout of folders. These colleagues continued to be responsible for Scienta and article approval with us even after the initial implementation.
- Right from the start, refer employees to Scienta with all questions; then, it becomes a habit. All they ever got to every question was the answer, “Just look on Scienta!”. In the beginning, do yourself a favor and check first if the requested information can indeed be found in the system!
