From his time as a Maintenance Manager in the aerospace industry, Herbert Denis is more aware than anyone else of the potential impact of inferior quality. But even at his current employer, coating manufacturer Ionbond IHI Group, quality thinking plays a large and important role. The company recently started using WoodWing Scienta at three locations to manage documents, knowledge, processes, and quality.
About the client
Ionbond IHI Group is an international player in the field of coating services. This apparently invisible layer is applied to a wide variety of products to protect them, reduce friction or give them a decorative aspect (color). More than 1,000 employees work for the company in one of a total of 30 coating locations in 15 countries.
Founded in 1989, Ionbond Netherlands in Venlo serves diverse market segments with coating solutions, including the automotive and decoration industries. Certifications such as ISO 9001, ISO 14001, ISO 13485 and IATF-16949, underline the importance the company places on quality, the environment, customer satisfaction and the continuous improvement of processes, services and products.
The challenge
Herbert: “Initially, we used a bulky and complicated software system to support the quality management process. Due to the size and complexity of this system, we could not capture information quickly and easily, which meant that knowledge was regularly lost. In addition, it was not possible to store data as part of the process descriptions.”
“Reason enough to look for a user-friendly software solution that had to be able to facilitate our visual way of capturing processes. By clicking on a specific part of the visual representation of the processes, a user should come out to the corresponding process documentation.”

“Because of our specific requirements for the new system, the consultant we engaged for this quickly came up with WoodWing Scienta. With help from this consultant and additional support from the WoodWing Scienta team, we had the system up and running within six months.”

The next step
“We haven't gotten around to that yet, but I imagine we could use WoodWing Scienta for internal communications as well. We are a global company with our own corporate intranet, but for the Venlo office we could put the connecting functionalities of WoodWing Scienta to good use. For example, in terms of the staff association and for information sharing about colleagues and social events.”
With WoodWing Scienta, we as a quality department are no longer monitoring and managing the timeliness of recorded information. That is now done by the owners themselves.

“Once we are really completely finished with the first part of the implementation, I want to pay more attention to the deployment of WoodWing Scienta forms. Those are really great, with endless possibilities. I expect that we can reduce the fragmentation of forms that are now everywhere and nowhere in the organization by as much as 60 to 70%. If we leverage workflow capabilities in the process, filling out, storing, handling and updating forms becomes a whole lot less labor-intensive.”
Herbert's tips
- I deliberately chose to put a large part of the documents myself into the system. This gives you insight into the existing documentation, how the software works and how you can take full advantage of this within your own organization.
- Make sure you know in advance which persons are responsible for processes and the corresponding documentation. Then you can capture that directly in the system when implementing WoodWing Scienta.
- Consider proper guidance for process owners. Make it clear what is expected of them and where they can go with questions. For example, we have monthly sessions with these colleagues to hear what they are up against and how we can best help them.
- I can recommend everyone to start using WoodWing Scienta as soon as possible. Had we started using Scienta ourselves earlier, we could have accomplished much more by now!
